General Policies & Guidelines for All Participants

Participants must comply with all applicable federal, state and local laws and ordinances, as well as University policies and procedures as set forth below and in other University publications. Participants in violation of such rules and/or who behave in an unsafe or careless manner while on University property may be asked to leave the College immediately without refund, and will be held responsible for their actions.

The following policies and guidelines have been drawn up to ensure the safety of you and fellow festival participants. Policies and Guidelines are subject to change at any time without notice.

Refund Policy

Airport Shuttle: Airport Shuttle is the Official Ground Transportation Provider for the Louis Armstrong New Orleans International Airport. They offer transportation to and from Downtown & Uptown New Orleans Hotels, the French Quarter, the Ernest N. Morial Convention Center, the Cruise Terminals and various New Orleans East Hotels.

Shuttles depart every 15 minutes from the Airport. Service is 24-hours per day or until the last flight arrives at the Airport. If purchasing your ticket(s) at the Airport, proceed to the baggage claim area on the ground level. After you have retrieved your luggage, proceed to the Airport Shuttle Ticket Desk, located across from all baggage claim carousels.

Individual Reservations can be made online in advance at www.airportshuttleneworleans.com or reservations can also be made by calling 866-596-2699 or tickets can be purchased upon arrival at the airport. Shuttle service cost is $13.00 (per person, one-way), $26.00 (per person, round-trip), or $24.00 (per person, round-trip for two or more people when purchased at the airport). Three bags per person.

Alcoholic Beverages: The law of the State of Louisiana prohibits any person younger than 21 years of age to purchase, publicly consume or possess any alcoholic beverage. Proper identification will be required. No person may carry open containers of alcohol on Loyola property except in those places so designated for the consumption of alcohol. A server from Loyola Dining Services or an approved university caterer must be present to serve alcohol at all catered functions.

Alterations: Conference attendees must consult the Associate Director for Center Services for approval prior to hanging any materials on the interior walls of Loyola facilities or before constructing any type of platform or backdrop. The use of tape or staples on walls is prohibited. All decorations must be removed at the conclusion of the function within the allotted time limitations.

Animals: Other than guide dogs, animals are prohibited in all Loyola facilities.

Badges: ITF Badges must be worn to all events. No exceptions.

Banking: Bank One, Whitney Bank and Hibernia National Bank ATM's are located on the first floor of the Danna Center.

Bookstore: The Loyola Bookstore, located on the first floor of the Danna Center, offers an array of reading materials, supplies, personal items, and Loyola memorabilia. Phone: (504) 865-3262.

Building Hours: The College of Music is open between 7:30 am - 10:00 pm each day of the festival.

Bulletin Boards: Conference attendees must not tamper with any campus or residence hall bulletin boards except those specifically designated for conference groups.

Bus & Streetcar: RTA (New Orleans Regional Transit Authority) operates bus and streetcar services across New Orleans. Loyola University is located on the famous Saint Charles streetcar line and conference attendees are only a streetcar ride away from numerous restaurants, hotels, and tourist attractions in Uptown, Downtown, and the French Quarter. Fare is $1.25 each way (exact change required).

With a VisiTour pass, you may board RTA buses and streetcars as often as you like. No need to worry about exact fare - just show your validated VisiTour Pass to the operator. # The RTA offers two types of VisiTour Passes (1 day: $5.00; 3 day : $12.00). To validate your pass, scratch off the month and day(s) you will be using it. On the three-day pass, make sure you select consecutive days. Your VisiTour Pass is not good until you validate it. Passes are available at hotels, retail outlets, information centers and the Bookstore.

If you are not familiar with the transit system, you can get rider assistance by calling RTA's RideLine at 248-3900. The RTA information specialists will need to know where you are (including the address, if possible), where you want to go and what time you want to leave. The specialist will tell you the location of the nearest stop, the approximate time of the next trip, and any connections necessary to get to your destination.

Cellphones: Cellphones and pagers should be switched off during all performances and clinics.

Church Services: Catholic Mass is celebrated at Holy Name of Jesus Church on Monday – Friday 6:30 a.m. and 7:30 a.m., Saturday's at 7:30 a.m. and on Sunday at 8:00 a.m., 10:30 a.m., and 6:00 p.m.

Copyright: Audio and/or Video Recording any festival performances or clinics is strictly forbidden by federal and state law. Any person caught making illegal recordings using any medium will be asked to leave the University immediately without refund and may be liable to prosecution.

Copy Machines: Copiers are available in the Danna Center and Monroe Library. Cost - $.05 per copy.

Damage to or Loss of University Property: Participants are responsible for the cost of repair or replacement of any loss of, or damage to University property caused by participants or their guests.

Damage to or Loss of Participants' Property: Loyola University or International Trombone Festival (ITF) is not responsible for lost, stolen or damaged property. Do not leave your instrument, accessories or other belongings unattended at any time. Lost property will be held at the Registration Desk until the end of the festival.

Emergencies: In case of emergency, call the University Police Department by dialing 3434 or 911 from any campus telephone, or 911 from any pay phone. A First Aid Box is available at the ITF Registration Desk for minor ailments. The University Police Department, a state-recognized law enforcement agency, is open 24 hours per day. The office is located on the first floor of Biever Hall and the phone number (non-emergency) is (504) 865-3434. Conference attendees should dial 911 or 3434 from any campus phone and 911 from any pay phone for emergencies.

Electrical/Fire Equipment: Tampering with fire equipment or safety apparatus, electrical wiring, and speakers is prohibited.

Exhibits: Exhibits are situated on the 2nd Floor of the College of Music. Exhibit hours are:

Firearms, Weapons, Fireworks & Candles: The possession or use of firearms, weapons, fireworks, incense and candles is strictly prohibited.

Food & Beverages: Food and beverages are not permitted inside the performance venues. The sale of food or beverage items is prohibited.

Food Court: A la carte dining is available in the Orleans Room situated in the Danna Center. Steaming hot veggies; crisp green salads; carved meats; hearty stews; the mmm... mmm goodness of Campbell's soup; delicious casseroles and delectable desserts are just a few options from which to choose.

Breakfast:
7:30 - 9:30 am (a la carte)
Lunch:
11:30 am - 1:30 am (a la carte)
Dinner:
5 - 6 pm (one price for all you can eat, one plate at a time)

Gambling: Gambling or solicitation in any form is prohibited.

Hair Salon: Mane Attraction, located on the first floor of the Danna Center, is a full-service hair salon offering a wide range of services including haircuts, perms, highlights, styling, manicures, and ear piercing. A full range of salon quality styling products are also available. Walk-ins are welcome, or call (504) 865-2648 for an appointment. Summer hours of operation are Tuesday through Friday, 10:00 a.m. – 6:00 p.m. and Saturdays by appointment. Please note that these hours are subject to change if necessary.

Helmets: Louisiana State Law requires the use of helmets for all persons riding bikes, scooters, skate boards, roller blades or similar items. Conference participants, and any minor children in their accompaniment will be responsible for abiding by these laws. Loyola University strongly discourages the use of skateboards, scooters, roller blades (etc) by minors while on campus.

Identification: Conference attendees will be issued a conference card and registration badge, which must be carried with them at all times, along with other appropriate identification. The Loyola University Police may require identification of any person on campus at any time.

Information Desk: An Information Desk is situated in the Registration Area (College of Music 2nd Floor) to assist with all aspects of the conference, city of New Orleans and surrounding area.

Instrument Storage: Instruments may NOT be brought into the performance venues. Instrument check services and lockers are available for a nominal charge. No exceptions.

Internet: The Monroe Library is equipped with web-based computers as well as Internet and power connections for laptop computers. Residence Hall rooms are equipped with Internet access for conference attendees who bring personal computers or laptops with them.

Mail and Messages: Mail should be sent to Loyola University New Orleans, Office of Student Activities for (name of conference attendee) of (name of conference), 6363 St. Charles Ave., Campus Box 1, New Orleans, LA 70118. A message board will be located on the first floor of each residence hall. Should someone need to leave a message for you, the number to call between 8:00 a.m. and 10:00 p.m. is (504) 865-3735. For emergency messages after desk hours, call (504) 865-3434. U.S. Postal Service mailboxes are located on campus for outgoing mail.

Medical Services: The nearest hospital is Memorial Medical Center at 2700 Napoleon Avenue. Phone: (504) 899-9311.

Minors: Participants who are under eighteen years of age may only attend the festival in the company of a legal parent or guardian. They are expected to adhere to an 11:00pm curfew in the dormitories.

Parking: ITF has arranged free parking on the Loyola campus throughout the festival. You will NOT need a permit and may park in either garage or in any other parking space not reserved or metered. Parking in fire lanes is prohibited.

Practice Rooms: Practice Room Facilities are available on the First Floor of the College of Music building. Rooms may not be reserved or held in advance. Practice Rooms are open from 8:00am until 10:00pm each day.

Photography: Photography of any kind is not permitted during performances and clinics. An official ITF photographer will be taking photographs for reporting purposes.

Recreational Sports Facilities: The Recreational Sports Complex, located on the fifth floor of the Freret Street parking garage, is a full-service health club facility, housing a swimming pool and whirlpool, sauna, steam, and locker rooms, weight and fitness rooms, racquetball and multi-purpose courts, an aerobics room and an assortment of exercise machines. Admission is free for conference attendees staying in the Residence Halls and $3.00 per day for commuters. All conference attendees must present their conference cards for admittance. Summer 2005 hours of operation are:

Please note that these hours are subject to change if necessary. Guests must adhere to all rules and regulations governing use of the Recreational Sports Complex. Tennis court reservations should be made 24 hours in advance. Group tournaments or games (volleyball, basketball) must be coordinated through the Coordinator for Center Services at least two weeks in advance and must be scheduled after 6:00 p.m. Pool parties are prohibited. Youths ages 17 and under must be supervised by chaperones at all times.

Smoking: Smoking is prohibited in all Loyola facilities unless otherwise clearly posted.

Taxis: New Orleans is actually a geographically small town, which makes most journeys by cab very affordable. A cross-town ride from your French Quarter/downtown hotel to an uptown jazz club or neighborhood restaurant is typically under $10, and a safe, fast way to get from point A to point B if you're unsure of streetcar or bus stop locations along the way.

Below are cab companies currently servicing the New Orleans area. You can often find a cab stand near a major hotel.

Telephone Service: Pay and credit card phones are located in the Residence Halls and in each building on campus.

Vending Machines: Vending machines are located in each of the Residence Halls and in many other buildings throughout campus. Change machines and ice machines are also located in each of the Residence Halls.

Additional Policies & Guidelines for Participants Staying in the Dormitories

Alterations: Participants may not make any alterations, changes or repairs or do any remodeling or painting of the facilities, furnishings or equipment provided. Participants may not use padlocks or change room locks nor move any university furnishings or equipment. Remodeling of rooms, including moving, removal or addition of furniture, is prohibited. The moving of common area furniture to individual rooms in residence halls is prohibited.

Antenna: Outside antenna are not permitted.

Check-in: Check-in begins at 12:00 p.m. on the date of arrival. Each participant checking into the dormitory will be given a room key and a plastic card (looks like a credit card). The card allows them access to the hall front doors after the assistants leave for the night and lock the hall doors. Participants should check-in at their dorm: Biever Hall, Buddig Hall or the Dominican Conference Center (540 Broadway).

If a participant arrives for check-in outside of normal hall hours of 8 am - 8 pm, there is a 4 digit telephone number posted on the hall front door, at the door is a phone box, the participant should dial the number and a conference assistant will check that participant into the hall. Participants should check-out at the front desk of their dormitory building.

Check-out: You must check out of the dormitories and return your room key and conference card by 12 noon on the day of check-out. Conference Housing charges will not be adjusted for attendees who check-in late or check-out early. Penalties and additional charges may apply for those checking out late or lost keys/conference cards.

Cooking: Hot plates or similar appliances are not permitted in residence hall rooms, and no cooking is allowed in any room except kitchen areas.

Keys: Keys and conference cards will be issued at check-in time and must be returned at check-out. Lost key fines are $75 per key: Lost conference cards will result in a fine of $5.00 per card.

Laundry Facilities: Coin-operated washers and dryers are located on the first floors of the Residence Halls. The cost is $.75 per load.

Linen: In each Residence Hall room there will be a pillow and pillowcase, 2 flat sheets and a comforter, 1 washcloth and 2 towels, and soap. Group linen exchanges are available at the rate of $3.00 per room per exchange for towels and $5.00 per room per exchange for towels and bedding. Linen exchanges must be scheduled at least two weeks in advance. Fees will be assessed for lost or damaged items.

Personal Items: Some suggested items you might need if you are staying in one of the Residence Halls: alarm clock, radio, clothes hangers, toiletries, umbrella, a telephone, and a television if you choose.

Pets: Pets are not allowed at the University. If a pet is found in university housing facilities, a minimum $200.00 cleaning/extermination fee will be assessed, and the pet must be removed immediately.

Quiet Hours: The playing of any radio, phonograph or musical instrument is such volume or creating noise in any other way so as to annoy or disturb the quiet, comfort or repose of persons in any dwelling is prohibited, particularly between 10:00 pm to 7:00 am. Participants experiencing such problems should first contact the individuals responsible for creating the disturbance and if no satisfaction is received, their event coordinator. Participants are responsible for the conduct of their guests, as well as themselves, at all times.

Right of Entry: The University retains the right to allow duly authorized agents and representatives to enter housing facilities for the purpose of inspection or maintenance or in the event of an emergency. The University will not be liable for loss of or damage to personal property, including damages caused by such agents or representatives in the performance of their duties.

Telephone Service: Local telephone service is provided in each Residence Hall room, however telephones are not provided. Conference attendees may bring their own phone for use in the rooms.

Window Ledges/Roofs: No one is permitted to be on the window ledges or roofs at any time. Also, objects (e.g., plants, laundry bottles, etc.) are not permitted outside on the window ledges. Screens must stay in the window frames at all times.
